Registration, Parent-Purchase or Sponsor-Funded: Which Photo Day Model Suits Your Club?

Before you pick a date or a photographer, there is one decision that shapes your whole photo day: who pays for it. Get this right and the rest falls into place. Get it wrong and you either leave kids out of the team photo or leave money on the table.

There are three ways clubs run photo day in South East Queensland. Each one suits a different kind of club. Here is how they compare, and how to pick the one that fits yours.

The three photo day models

Built into registration. The club includes photography in its rego fees, so every registered player is photographed and gets a team photo. Families pay around half what they would after the event, because it is organised up front.

Parent purchase (the "speccy"). The club pays nothing. Photo day runs, and families choose whether to buy afterward. Typically 40 to 50% of families order, though it varies by sport and demographic.

Sponsor-funded. A local business covers the cost of photo day, families pay nothing, and the sponsor gets their name on something the whole club sees. No club in our area has done this yet, which means the first one to try it gets all the goodwill.

The built-in model starts at $18.15 per player, which is usually the lowest price a family will pay for a team photo all season.

Built into registration

This is the model we recommend for most clubs, and it is what around half of our clubs choose.

Pros

  • Every kid is included. No child misses out because their family forgot to order.
  • Families pay less. Organising up front roughly halves the per-family cost.
  • Simple on the day. Nothing to collect, because it is already in the fees.
  • The club still earns. You receive a rebate on top.

Cons

  • It goes in your fee structure. You set rego fees before the season, so it takes a little planning.
  • One price for everyone. Families who would not have bought still contribute, though the lower price softens that.

Parent purchase

The classic "speccy". The club carries no cost and no risk.

Pros

  • Zero cost or commitment for the club.
  • Families only pay if they want photos.

Cons

  • Kids get missed. Only the families who order end up with a photo, so team photos come back incomplete.
  • Higher price per family, because nothing is organised up front.
  • Orders rely on reminders. Quiet communication means low uptake.

Sponsor-funded

The one nobody local has tried yet.

Pros

  • Free for every family, which is a genuinely good news story for your club.
  • A local sponsor gets real visibility and goodwill across the whole club.
  • Every player is included.

Cons

  • You need a sponsor on board, which takes a conversation or two.
  • It is new ground locally, so you would be the trailblazer (which is also the upside).

Which model is right for your club?

A quick rule of thumb:

  • Want every player in the team photo without chasing orders? Build it into registration.
  • Not ready to touch your fees this season? Start with parent purchase and review next year.
  • Got a local business that loves the club? Ask them about sponsoring photo day and give your families a free season.

Plenty of clubs start with parent purchase, see how the photos land, then move to the built-in model the following year. There is no wrong place to start.

The short version: Building photography into registration is the only model where every registered player is guaranteed a team photo, and it usually costs families about half the post-event price. Parent purchase carries no club cost but leaves out the kids whose families do not order. Sponsor-funded photo days are free for families but depend on lining up a local backer.
